Meeting called to order at 4:33 p.m. by Harvey Kendall 2. MOTION by Wanda Kraemer to approve the March 28, 2002 regular meeting minutes, SECOND by Idella Ziegler, MOTION PASSED. 3. Items added to agenda: a. Quilt Show b. Farmer's Market 4. Updates: a. Bike Park - No real movement on this as yet, still seeking a contractor for the fence and possibly for the concrete due to Public Works busy schedule. b. Air Quality - Fred Patch will be calling an air quality engineer to assess our pool environment. 5. 2002 First Quarter Financial review - Kitty Baltos provided preliminary numbers on revenue received, visits to the community center and passes sold for the first quarter of 2002. The City Hall finance department has not yet finalized their financial statements, therefore, first quarter expenses were not available. 2002 showed a revenue increase of 15%, visits were a bit higher than 2001. 6. Monticello Community Connections Grant - Discussion about ideas for grant program. Possible ideas from the board after reviewing the criterion: youth fitness, After school adventure camps, community theater, computer room, chess club, or music club. Kitty Baltos will follow up with staff and write grant to be submitted by May 3, 2002. 7. 8. 9. 10 Pool Toys for 2002 - discussed possible options for a new pool toy to be installed in our pool when we shut down for maintenance in September 2002. Of a , m Va _. p Presented to: Kitty Baltos By: Arlene Williams 6/22/02 Monticello Community Center has a competitive advantage over most similar facilities in that it is a newer facility, centrally located from the North or the South, offers unique attractions like a roller park, three pools, an eventual bike park, health club, climbing wall and more. You also have a seasonal advantage in that you have both in -door and out -door activities making the Monticello Community Center a year-round attraction Monticello Community Center has a target market of families. Most of their customers are kids or parents. A secondary part of their market is health club users which tend to be 24-49 adults. Goals When planning the marketing of The Community Center we set certain goals to measure the results of the advertising on 104.7 KCLD. Some of those goals were: Heighten the awareness of the Health Club and its features. Increase memberships from 300 to 600. Increase banquet Hall bookings from 30 to 45. Increase over-all awareness of the community center and the activities available there. Success We have had some excellent successes in the first 6 months including a catchy Jingle that reminds people of the fun available at The Monticello Community Center Martin Luther King Day was up 30% (3500- up from 2400 in 2001) Friday before MLK was up 25% (2400- up from 1700 in 2001) Breakfast with the Easter Bunny 450 kids Visits up to April were up 22% Memberships were at 480 by April 20, 2001 Late spring is soft, but this is true in most businessesin 2002. Now is not the time to stop the momentum. "Branding is the linking of one memory to another" - Roy Williams Based on his incredible success as an ad agency for clients nationwide, Roy Williams, The Wizard of Ads, has developed a 3-step process to "branding" a local business in the marketplace. It is: • Consistency - Use fewer media and stick with it for a least a year before you judge it. For "branding" to occur, a long-term commitment is mandatory. The goal is to own their hearts and minds at the end of a year so when they have a need for a product or service -they think of your business first. • Frequency - You need a frequency of 3 each week against the same target audience week after week, month after month, to effectively "brand" your business in the consumer's mind. • Anchoring — This is the one that is most often missed. The message must "tell your story" effectively, giving them the "why". The best ads focus on your customers vs. your business or product. ■ Focus on the "WHY FACTOR" What makes your business so attractive to potential clients? What makes them choose Monticello Community Center over dozens of other similar businesses? Competitors can always beat you on price at some time or another, but can anyone become you? Of course not, and it is therefore to your advantage to focus on your business identity (brand image). This is what sets you apart from other similar businesses! • Riding the "Brand Wagon" to success Creating a strong brand identity for Monticello Community Center requires a discipline, a way of thinking. It will start at the top and trickle down to the bottom. In order for this strategy to be most effective, everyone involved in your business must live it, breathe it, talk it and think it! It Must be Something Fun For Everyone! ■ Every week, 52 weeks... No Exceptions! Remember the first reason for advertising failure is the desire for instant gratification. Building strong brand awareness doesn't happen in one week or even a few months. It takes at least a year to establish any kind of recall and results. Many businesses "chicken out" just as the campaign is starting to sink into consumer's minds. You also have a seasonal advantage in that you have both in -door and out -door activities making the Monticello Community Center a year-round attraction Monticello Community Center has a target market of families. Most of their customers are kids or parents. A secondary part of their market is health club users which tend to be 24-49 adults. Goals When planning the marketing of The Community Center we set certain goals to measure the results of the advertising on 104.7 KCLD. Some of those goals were: Heighten the awareness of the Health Club and its features. Increase memberships from 300 to 600. Increase banquet Hall bookings from 30 to 45. Increase over-all awareness of the community center and the activities available there. Success We have had some excellent successes in the first 6 months including a catchy Jingle that reminds people of the fun available at The Monticello Community Center Martin Luther King Day was up 30% (3500- up from 2400 in 2001) Friday before MLK was up 25% (2400- up from 1700 in 2001) Breakfast with the Easter Bunny 450 kids Visits up to April were up 22% Memberships were at 480 by April 20, 2001 Late spring is soft, but this is true in most businessesin 2002. Now is not the time to stop the momentum. I just wanted to update you on a couple of items. 1. Bike Park Grand Opening - We will be happy to have you there for any part of the day that you are available. Here's an updated itinerary for the day: 1. 2: 45 p.m. - Ribbon "break through" with the Land of Lakes Choirboys 2. 3: 00 p. m. -Rich Wieber -profession stunt bike rider 3. 4: 00 p.m. - Metrum - local band plays 4. 5: 00 p.m. - Open competition practice and judging, each group will be given a practice time before judging starts - then each competitor will be given one minute to perform. Your job will be to judge on what I call WOW points. You'll grade 0 to 5 points (yes you can use tenths for example 4.9) depending on how much the trick performed WOW's you. The competitors know that they are not being judged on technical merit. You'll have an assistant helping keep the scores for you and help determine the winner. 5. 7.15 p.m. - Metrum -local bands plays 6. 8: 00 p. m. - open ramps until 9: 00 p. m. close. Budget Meeting - I would like to call a special meeting of the Advisory Board to begin preliminary budget review. I'm looking at Thursday, August 8th at 4:30 p. m. Please let me know your availability. I would anticipate that the meeting should only take one hour to one and a half hours. My staff has been diligently researching projects for 2003. 3. Banquet Rental Rates - At the last Board meeting we talked about revamping how we quote our Banquet Room rental prices. Currently it's a room charge, police officer charge, dish rental charge, kitchen charge, video equipment charge, etc. Tricia Menth, our Event Coordinator, explained that this is very off- putting to potential renters and with our 2002 price increase, we've seen a decline in rentals of the Banquet Room by 50%. The proposal at the last meeting was to revamp the price structure to be one price for all amenities based on recommendations from Tricia. Here's what we're looking at: (enclosed is our current brochure for comparison) a. Alcohol Events $850 - This price includes: Police officer, dish rental, video equipment, event hostess, kitchen rental, table and chair set up and tear down, the patio, the portable bar and our head table covering. b. Non Alcohol Events - $600 (the difference being no police officer, cost is usually $'200 to $250 per event) C. If you'll notice we'd like to do away with the Resident, Regular rate. We're finding that if they are non-residents, they are getting residents who are relatives to book for them. They always tell us it's their wedding present to them, how do you check that?? It makes the prices look easier and cleaner. d. The damage deposit would remain at $500 and would be the only additional charge from the community center. The renter would have additional charges for food and beverages. e. Tricia is working with local vendors to put together package plans that will include, for example, hotel rooms, decorations, flowers, etc. We are planning to be in a wedding expo on August 11 th, so if you have any problems with the new price structure, please let me know ASAP. We'd like to begin quoting new prices, whatever they are, at this expo. We expect to see 1500 to 1800 attendees of the expo.
