Library Board Agenda 03/12/2024MONTICELLO LIBRARY BOARD MEETING TUESDAY, December 12, 2023 5:30 PM 2024 Meetings Tuesdays at 5:30 pm June 11 September 10 December 10 AGENDA ZOOM LINK: Topic: Monticello board meeting Time: Mar 12, 2024 05:30 PM Central Time (US and Canada) Join Zoom Meeting bqps://us02web.zoom.us/i/8575905195 1 ?pwd=MndPaUVRcXBtY3 FKc11UeStiU1JIQT09 Meeting ID: 857 5905 1951 Passcode: 569601 1. Approval of the minutes of 12/12/23 Board Meeting 2. Library Report(s) (Marla) 3. GRRL Update(s) (Jeannette/Brandi/Jami) 4. Old Business — a. Gardening and Landscaping —Front door winter decorated pot was great. We'll look forward to spring pots getting planted (maybe by the Monticello Ambassadors?) Spring planting will be all three pots. b. City staff came and took much of our seasonal d6cor from winter and took it to the old DMV building. The rest of the d6cor is ready to be taken over there when available staff can help. 5. New Business — a. Spring Book Sale is April 10-11 with a special preview day on April 9 for Seniors and Friends members. b. Moving and storage of books/materials is going to be an issue during the carpeting project. Jerry is working with his staff and supervisors to coordinate with carpet vendors, possible movers. Jerry is retiring this spring, so not sure what the contingency plan will be. c. Timeline for possible carpet/painting? For us, the best time is the fall since we've got Summer Reading Program in full swing through the first week of August. Plus programming is already confirmed through the month of August. Painting should be done at the same time to save on labor. It is much easier to paint when they don't have to worry about saving the carpet, or the baseboards. Not sure if it is in the budget, but it makes too much sense not to paint at this time. d. If we close in the fall, we'll have to reschedule a fall book sale and defer programming for about 2 months. Similar branches going through carpeting projects are having to close for 10 days (Annandale), so it can only be assumed that we'd be closed for at least that long, maybe closer to 3 weeks, considering our size compared to Annandale. e. We are able to secure (almost) brand new office furniture courtesy of Holiday Station Stores HQ moving sites. Jan Ian's son-in-law works for them and will be donating about $3500 worth of office furniture to us free of charge. We'll be selling off much of our old stuff at our book sale. In the mean time though, we need a storage space for this furniture. Anyplace in town that could store it for us? f. Hiring of a Senior Library Assistant —two failed searches. This position proved to be problematic. Not sure if it was because the position was not full time, yet asked for some supervisory experience; or the hours/shifts were wonky. The position was reposted as a Library Assistant, (took the supervisory tasks off) and will close on March 18. Next meeting: June 11 @ 5:30 p.m. In response to COVID-19 and pursuant to Minnesota Statute Chapter 12. Emergency Management, Governor Walz declared a state of emergency. In accordance with the state of emergency and Minnesota Statute Chapter 13D.021, the Monticello Library Board and GRRL staff will participate in the meeting by telephone or other electronic means rather than being personally present at the regular Monticello Public Library location. The meeting will be conducted electronically via Zoom.
