Discussion Items: 1. Lynn will email information to include in the specifications. The Contractor will be required to have an agreement with the BNSF RR during construction. 2. Utility crossing permit applications should be sent directly to Toni Gaiser of Staubach (toni.gal ser@staubach.com). Each crossing will be a separate permit. 3. BNSF RR insurance requirements must be included in the specifications and met by the contractor. 4. Lynn will finalize the draft RR Grade crossing agreement and confirm the easement information. There will be three grade crossing agreements. The agreement for the CSAH 18 crossing will be a 3-way agreement since the City and County are splitting the costs 50%/50%. The Highland Way and Meadow Oak crossing agreements will be between the City and BNSF. Shibani and Nancy will submit the permits to the Agencies for execution. The CSAH 18 grade crossing agreement will be signed by Rick Wolfsteller, City Administrator, Monticello City Hall, 505 Walnut St. Suite #1, Monticello, MN., 55362 for the City. Virgil Hawkins is confirming the signature block data and will provide the information for the county signature. 6. Lynn has received the draft 60% plans for the CSAH 18 project. She will use this information as a part of the exhibit for the agreement. 7. Any existing utilities remaining in place will not require a new BNSF permit. 8. Shibani and Nancy will coordinate the City insurance information with Dawn Grossinger of Monticello for the utility permit requirements. 9. The CSAH 18 project has been divided into two project bid at separate times. The work on CSAH 18 south of Meadow Oak Avenue and form the RR tracks north along CSAH 39 will be let with the Meadow Oak project. This change will allow CSAH 18 to be closed earlier in the year. 10. An 8-foot concrete panel will be required for the sidewalk crossing along Meadow Oak Avenue, given that the existing material between the tracks is bituminous at Meadow Oak Avenue. Shibani will send Lynn a detail of the sidewalk crossing showing the dimensions. Lynn will then have the cost estimate completed. A one page agreement will also be prepared for the sidewalk crossing. Shibani will check if an easement is needed. 11. BNSF's attorney is working on the agreement for the Highland Way crossing and a draft will be submitted in the next few weeks. Lynn has the easement exhibit and legal description as well as a request to complete a cost estimate for the concrete surface crossing. These minutes were prepared by Nancy Hanzlik.
