MEETING MINUTES
TUESDAY, APRIL 20,2010— 4:30 P.M. RIVER ROOM

Staff Member Present: Kitty Baltos- Director
1. Call meeting to order.
Meeting was called to order by Vice Chair Sandra Theros at 4:28 p.m.
2. Consideration of adding items to the agenda. None.
3. Consideration of approving the minutes from the March 16, 2010 regular meeting.
Sandra Theros made a MOTION TO APPROVE MINUTES as submitted. The motion was SECONDED by Clint
Herbst. The motion PASSED unanimously.
4. Update Items:
a. Financial summary through March 2010.
Kitty Baltos reviewed the MCC's Revenue and Expense Statement for March 31, 2010 which was
included in the meeting agenda packet. She noted that Line 1, Room Rental, has been really
active based on the month -to -date actual revenue. The amount is some $8,000 more than this
time last year. There is a Vending /Commission Refund (Line 7) in the amount of some $20,000
from Bernick's for the exclusive commission on vending machines. Kitty asked what the Board
might want to do with the money. At one point the MCC had looked into replacing the Highway
Liquor sign. It still seems a very expensive option that would likely have to be budgeted. Line 75,
Repair and Maintenance, reflects the cost spent on the Dumont de- humidification system. Line
86, listed as Misc. Other Expenses, reflects a $3250 rebate related to pool lights, This was due to
energy efficiency. The new lights were actually installed in 2009 and the savings were reflected in
2010. Kitty also stated that there was a cost for Marco copier charges for which MCC reimbursed
City Hall.
Sandra said there is a site called Office .com where folks can rent a physical meeting space (with
reception services, online access and copiers) when they have a need short- term need for space.
Sandra wondered if folks can rent rooms through MCC if they have need for a temporary office.
Kitty mentioned that sometimes the River Room is used for short -term office needs.
b. Visit Summary through March 2010.
Kitty noted that MCC visits for the First Quarter of 2010 were a little low at 67,500 people. There
were 1,400 guests. Memberships are doing well. The ice arena does well. The Daily Use summary
by Month was attached.
C. Manager's Monthly Recap.
Kitty reported that planning is underway for the upcoming Movies in the Park season. Movie
dates are scheduled for two Fridays and one Saturday but the movies have not yet been selected.
The Board agreed that "The Blind Side' might be a good choice for the June family movie. Kitty
will try to book it. MCC is considering options for a scary movie to show in August and perhaps a
Disney movie for September. Clint will check on Swank.com to find out what movies will be
available in DVD. Information about Movies in the Park will be distributed with the city utility bills
to be mailed at the end of the week. Reminders about Movies in the Park were sent to
elementary schools. Clint Herbst suggested that the MCC hang a banner inside the building to
advertise the Movies in the Park season. FiberNet sponsors the event. Kitty will find out if
FiberNet might be willing to explore that option.
5. Old Business:
a. Warehouse Remodel: MCC is still getting prices from (local) contractors for demo work for the
warehouse. The Board had questions about where the children's activities and fitness classes might
be moved for a month. Sara will return on May 3'd and join in that discussion. The chapel is an
available option all day through the summer. Kitty prefers to do the warehouse remodel when the
pool is closed in September but maintenance staff thinks that might be more disruptive to their
workload.
b. DuMont de- humidification system: Discussed this item in review of financial info section.
6. Review of current swim lesson pricing and consideration of fee increase.
Kitty presented some research on various area Community Center and Community Education swim lesson
pricing and included the details in the agenda packet. She'd said she'd like some direction as to whether
or not prices should be increased for the season since the summer brochure will be coming out April 26`"
A review of pricing shows that the MCC is reasonably priced. Net swim lesson revenue is good and it
covers salary. Half of the swim revenue is a result of summer lessons. Corrine does a good job of
projecting instructor /class need levels. The Board agreed to maintain current pricing to keep lessons
affordable.
7. Review of Community Center policies pages 13 through end (pace 22) and consideration of changes to
policies under review.
a. Indoor Walking track: Discussed item at last meeting.
b. Climbing Wall: The climbing wall company develops standard policies. The wall is usually very busy.
MCC wall staff are all very qualified.
c. Gymnasium: No discussion.
d. Drop in childcare: Sandra was wondering if there is still a sticker use policy when dropping off and
picking up children because it doesn't always seem to be enforced. The Committee considered
perhaps signing in and showing ID as another option for verifying a relationship to a specific child. Kitty
confirmed that there should be a consistent security policy and that she'd reiterate that with staff.
e. Romp n Stomp: There was discussion about possibly listing an age to limit use of the Romp n Stomp.
Kitty stated that day care kids don't use it because there is an additional fee for that. The access
to the Romp n Stomp through the day care area isn't ideal but workable. If there are 15 or so children,
or more than one baby in day care, they get additional staff coverage. The gate is locked when kids are
there.
f. Warehouse Teen Center: MCC doesn't run the teen center anymore. It was decided to leave that
policy intact at this time.
g. Room Rental Policies: No discussion.
h. Party Room Policies: No discussion.
I. Programs and Classes: No discussion.
j. Membership policies: No discussion.
Other questions /suggestions from the Board:
Can people go outside the fire exit doors for suntanning? Yes. Kitty agreed that MCC might want to
advertise that.
Sandra suggested that MCC might consider offering shuffleboard out on the deck outside. The Board
thought that seniors and kids would love it. It would require resurfacing the area to accommodate the
activity. Kitty will look into it.
Joey, the MCC Kids Manager, also wants to do a bean bag league. The Board thought this was also a great
idea and that it might be fun for the block party too. Clint suggested that the Monticello Lions has bean
bag equipment that they agree to let the MCC try it out. Kitty will look into this further as well.
Kitty will bring back the policies back next month for a final, full review and then take the revisions to City
Council for approval.
8. Discussion on Bertram Family Fun Day, Saturday June 12, 2010.
Family Fun Day at the Bertram Regional Park is on for June 12 from 10 am -4 pm. There will be a need for
additional volunteers to help this year. Open swim will be offered during the whole event. Jennifer agreed
to sign up for assisting the canoe /kayak event in the afternoon again this year. Sandra will check her
schedule and get back to Kitty to sign up to be a volunteer. The Monticello Lions have at least 12
volunteers signed up to help with grilling. Clint will help out with cooking all day. FiberNet has agreed to
pay for the cookout. The Friends of Bertram Lake have a web site with additional info posted.
Other issues.
Parking: Council approved posting signs on the East side of Walnut for parking for Towne Center
customers only to alleviate parking congestion for businesses. Clint stated that he thinks folks renting
MCC rooms should be able to park on the MCC side of the street. Kitty will send an email to members
before the end of the month noting changes to parking. (The email will also promote the MCC's new
seasonal hours and Movies in the Park.) The National Guard utilizes a lot of parking in the back parking
lot. Kitty mentioned that the City Engineer had said that 6`" is wide enough to add parking but it might
involve taking out some trees.
Concessions: There was discussion about asking Muller Theater to do concessions for Friday and Saturday
MCC events in the summer and perhaps encouraging the theater to offer free movie passes. Kitty will look
into this.
Senior Update: This Sunday there is a Senior Center breakfast fundraiser. Fewer seniors were eating
meals in the larger space of the Mississippi Room and, as a result, Catholic Charities wasn't planning to
continue serving meals there. Staff moved the dining program into the center itself and found that more
seniors would attend meals in that cozier space.
9. Adiourn.
The meeting adjourned at 5:26 p.m. The Board took then took a brief walking field trip to look at the new
concession vehicle.
