MCC Advisory Board Minutes 05-18-2010MONTICELLO COMMUNITY CENTER (MCC) ADVISORY BOARD MEETING MINUTES Board Members Present: Board Members Absent: Staff Member Present: 1. Call meeting to order. TUESDAY, MAY 18,2010-4:30 P.M. RIVER ROOM Ron Broekemeier- Chair, Sandra Theros -Vice Chair, Jennifer Bethke, Clint Herbst Susie Wojchouski, Wanda Kraemer Kitty Baltos- Director The meeting was called to order by Chair Ron Broekemeier at 4:34 p.m. He noted the absence of Susie Wojchouski and Wanda Kraemer. 2. Consideration of adding items to the agenda. Kitty added a discussion of summer movie choices as well as an update about the Bertram Regional Park to the agenda. 3. Consideration of approving the minutes from the April 20, 2010 regular meeting. Sandra Theros made a MOTION TO APPROVE THE MINUTES as submitted. The motion was SECONDED by Jennifer Bethke. The motion PASSED unanimously. 4. Update Items: Financial summary through April 2010 Kitty noted that rentals have been going well. She pointed out that Line 43 represents the cost of furniture for the new MCC offices. Ron asked for a brief recap about the pool equipment. Kitty reported that the MCC has begun using muriatic acid which works much better for cleaning rust. They can wash the pool with the product while the pool is in operation. This product also allows staff to do surveillance on staining. b. Visit summary through April 2010 Kitty reported that the MCC had 1300 visitors in April — only slightly fewer visitors than this time last year. She also stated that the climbing wall has been very successful with some 172 participants. Kitty noted that the next three weeks will be the end of the year push for school field trips. The MCC hosts groups of 150 -200 kids every day this time of year. Clint asked if schools have to be turned down due to the demand. She pointed out that most groups arrange for the same date annually. She hasn't heard from Tricia that they have any difficulty accommodating any school groups. Parents send money for meals and treats with the kids and the kids spend it. The Community Center sells a lot of pizza, slushies, cookies, and candy during those field trips. C. Manager's Monthly Recap Sara will be starting back to work full -time after maternity leave and handling some additional family matters. It will be great to have her back in time for the summer season. Some 470 students have already registered for swimming lessons. There are 929 spots available for summer. Men's softball continues to be very popular. There are 15 Monday evening and 14 Tuesday evening teams. The weather has been pretty good for games. The MCC will be promoting the Mid - Summer Tournament held over Riverfest weekend. Weddings are in full swing for the season. Most people have selected the full decoration draping package. The Sheriff's department has increased the cost of providing coverage so these hours have been reduced. Kitty stated that she feels confident that coverage will continue to be sufficient as they also have a hostess on site at events. Twelve children are registered at this point for the summer program at Friendship Island. Cityscape has been the internet provider at the ballfields. Service has been spotty and frustrating. FiberNet will be working to establish service at the ballfields by next week. This will enable the MCC to take credit cards for fees and concessions (including beer!) There is also a vending machine at the ballfields which has wireless credit card capabilities. The MCC has an agreement for 26% of the profit from Bernick's vending. MCC was able to accommodate staff requests for more hours by only hiring two of the four positions which opened up in the spring. Thirteen high school and one college student will be graduating this year. The Farmer's Market had a rainy start but there were nearly 250 shoppers. 5. Consideration of accepting resignation of Board member Wanda Kraemer and discussing replacement plan. Board member Wanda Kraemer notified the board that she will be resigning effective immediately as she will be moving out of Monticello. The board agreed to accept her resignation and will take steps to fill the board position. After some discussion, it was decided to find a replacement to fill out Wanda's remaining six -month term and then re -post the opening for a full -term. Kitty indicated that she has the name of a citizen who'd previously expressed interest in a board position. She will contact him and also post the opportunity in the paper. Sandra Theros made a MOTION TO ACCEPT THE RESIGNATION AND MOVE FORWARD WITH FILLING THE BOARD POSITION. The motion was SECONDED by Jennifer Bethke. The motion passed unanimously (and "sadly "). 6. Consideration of final review of community center policy manual and recommending approval by City Council at their May 24, 2010 meeting. Kitty stated that the Event Coordinator had requested a change in the policy of giving refunds when room reservations are cancelled with short notice. Clint suggested that the MCC might refund half the fee, and if the room is then rented, refund the second half- similar to how this policy is handled in the Mississippi Room. Jennifer recommended changing the wording from "non- wedding" to weekday for Mississippi Room rentals. She also suggested changing the language in the loitering policy so that it is clear that there is no loitering whether one is a member or not. Jennifer Bethke made a MOTION TO AMEND THE MCC POLICY MANUAL to include changes to the Rental Cancellation Policy and the Loitering Policy as stated above. Ron Broekemeier SECONDED the motion. The motion PASSED unanimously. Consideration of Items added to the agenda. Movies in the Park: Kitty reviewed some choices for Movies in the Park. She will be booking the movies tomorrow and the brochure will go out on Thursday. "The Blind Side "will be shown on July 30. She is still considering scary movie choices for Friday, August 13th and Disney movies for September 111h and asked the board for input. All agreed that the movies should be family - friendly. Clint mentioned it might be fun to do a series of classic movies for next year. Clint also suggested that the board may want to talk to Tom Moores in Public Works about possibly doing a curb cut so that folks could park on the grass in Pioneer Park for easier access to events such as the movies and the car show. Bertram Park: The board reviewed a map of the Bertram Park concept plan. They briefly discussed some of the proposed uses such as (ballfields, concessions, restrooms, camping) and the locations associated with each. They noted that there will continue be an opportunity to make changes to the plan. The Public Open House was scheduled for later that evening. Subcommittee representatives will be on hand to respond to questions about the concept plan. The Family Fun Day event is scheduled from 10 am -4 pm on Saturday, June 12th. Kitty is still looking for volunteers for the 10 am -1 pm shift and the 1 pm -4 pm shift. 8. Adiourn. Sandra Theros made a MOTION TO ADJOURN. Ron Broekemeier SECONDED the motion.
