5. Update items: Items reviewed with discussion from the Board on adding previous year's data on third
quarter graphical review of revenue, expenses and monthly net profit or loss. Discussed updates on
coupon program Living Social, PoP program for Farmer's market and crossfit research.
6. Old Business: Reviewed current progress on option to have MCC a 24/7 facility and final financial ball
field concession review. Kitty will move forward with adult sports bringing their own alcohol and no
longer operating concessions at the ball fields.
7. Consideration of recommending applicant for the Advisory Board to City Council. MOTION by Jennifer
Bethke to request and ordinance change to allow an additional Board member for the MCC Advisory
Board. SECONDED by Heath Bird, MOTION Passes unanimously. MOTION by Jennifer Bethke to approve
recommendation of Bonnie Stromberg and Karen Vetsch to the Board, SECONDED by Darren Paumen,
MOTION PASSES unanimously. ALTERNATE MOTION by Jennifer Bethke, if ordinance change is not
approved, to recommend Bonnie Stromberg for the MCC Advisory Board, SECONDED by Heath Bird.

MANAGER'S UPDATE
NOVEMBER 2015
Director -Kitty Baltos:
• So after a little more research, I have found that we, The City, will not be able to affiliate with Cross Fit.
They require that the business owner be at least level one certified. I emailed them to explain how we
would set up the business and said that they would not be able to allow us to affiliate based on their
policies.
We could move forward with a Cross Fit program under a different name. There is so much value in being
an affiliate of Cross Fit though. I'm unsure if the expense would be justified based on the success we
would or wouldn't have. More to ponder.
• I've requested our dates for Movies in the Park for 2016. They have not been approved yet, but I have my
fingers crossed. They are all Saturdays, June 25, July 23 and August 13. Next we commit our sponsors
and pick our movies.
• It's our turn on the 1 -94 freeway billboard sign! I'm working on an idea to give to Lamar for design. It's so
fun to see our name on that big sign!
• Our Living Social coupon is online and available to purchase. As of this morning, Friday, 49 have been sold
and four have been redeemed. We will expect our first payment from Living Social on the 24th of
November.
Event Coordinator - Tricia Menth:
• November gears us up for the busy time ahead. Meeting rooms continue to get busier with holiday
parties and family parties. We can also seethe front desk being busier during the day and evening. Nice
to have all the commotion start again. We are still have a few issues trying to find staff to work the
climbing wall. We have great staff at the front desk and childcare and should be ok with having enough
employees there. We are not able to offer any day time climb hours. We have always been very lucky to
have a staff person that could work the wall on school days but right now we have all high school students
so we used to be able to accommodate Swan River and other day groups with the wall but first time in 15
years we are not able to.
• Craft show this past weekend seem to go off without a glitch. Was nice we did not need to worry about
dropping any cords from the ceiling so that was a big help in getting the gymnasium opened back up
quickly on Saturday. Our part time custodian, Ty, did a fabulous job taking care of a very busy Saturday
with 2 craft shows and an indoor Farmers Market.
• November we do not have any weddings booked. Good time to get the head table covering cleaned,
draping cleaned, new lights ordered for the draping and touching up the room a bit. I did order new lights
for the draping because the ones we were using were regular household Christmas lights and our draper
informed me those lights tend to get a little too hot to be next to the draping and also the burn time is
very short. The new ones I ordered were made for commercial use. They burn much cooler and are LED
so have a long life. We do have a wedding booked in Dec. The room is still busy in Nov with Wine Tasting,
Senior Craft show, Senior Center's Thanksgiving luncheon, Veteran's Day program and luncheon, Swan
River's Thanksgiving Potluck, Girls volleyball banquet, Chamber lunch, Family Dentistry's Holiday party
and meetings.
• Patio is all cleaned up and furniture put aside for another season. Luckily no need to break out the shovel
yet. We do keep the patio cleaned off in the winter for fire emergency.
• Been going thru some of my old boxes of paperwork /waivers and setting up policy and housekeeping on
what needs to be shredded, can be thrown or organized by date when can be destroyed. It is time
consuming but realize how much is on hand that does not need to be.
• We have a new rep with Apperts (Sysco). Been talking with her about some new concession items that
are healthier and different options. Time to freshen up the concessions with a few new ideas. Have not
had very reliable luck with Reinharts. Twice now the sales rep forgot to place our order. When you are
low on product and the truck does not show up that is not good customer service. This new rep with
Apperts has been with the company a long time, knows product well and seems very on top with things.
We had Apperts for many years and was very happy with the service but a year ago they re- assigned
routes and was given a rep that was maybe not on top of things and didn't know product well. They also
changed from Apperts to Sysco during that time so with that and a newer rep it was difficult to get
product we ordered.
Aquatic Director - Corinne Mitchell:
• Looking forward to a busy pool the week of November 23rd for Thanksgiving. Elk River and St. Cloud
school district have the entire week off so we will be busy here at MCC. Fridays and Saturdays after
Thanksgiving have been very busy in the past also!
• Training for the Pool Staff will be Wednesday November 18' or Sunday November 22nd. Lilly Lantto will
be again refreshing us with proper backboard, rescue and CPR skills.
• Winter 2016 Swim Lesson Schedule is coming together nicely. Schedule will be available Friday December
4'h with registration beginning Wednesday December 91h
• We have had low numbers on our Birthday Parties. November 2014 we had a total of 23 parties and this
November we as of today have 9 parties booked. Not sure why it is so slow...
• Dale's Adult Swim Lesson class finished this week. He had 4 students that were very pleased with the
instructor and progress that they made in the 6 week session.
• Collections have been manageable this month but still disappointing that we have to spend so much time
collection payments.
Program & Operations Coordinator -Sara Cahill:
Friendship Island, Summer 2015:
• 1 increased the maximum number of kids this summer and it resulted in an average of 10 more kids per
day in 2015 compared to 2014. 1 increased staff hours slightly and added tutoring time. 61 kids
registered in 2015 compared to 43 in 2014. By increasing enrollment I realized it was a strain on my time
administering the scheduling of 61 kids and a strain on the staff in keeping the kids in line. Some days
there were 40 kids in the chapel and staff hard a difficult time getting the kids to hear them and keep it
from getting chaotic. (imagine recess all day from 6am to 6pm) We realized 1 large space does not work
well for 40 kids, it would have been easier to control had they been divided into 2 separate areas.
• Administration of the schedule and payments was time consuming for me. Setting up online registration
with payment would help however, I am not overly confident about the online registration process on CSI
at the moment.
• We did split up into two groups according to age during activities. During free play and lunch the kids
were all together.
• Staff enjoy working this program, and I was lucky to have several returning staff who knew how to handle
situations such as restroom breaks, locker rooms, lunch procedures, snack time, etc.
Other Updates:
I am getting a lot of seniors in my office trying to figure out if they are eligible for Silver & Fit and
SilverSneakers. I will be spending a lot of time with seniors in the coming months as insurance plans
change. Currently we have 183 SilverSneakers members and 220 Silver & Fit Members. In October, 55
SiIverSneakers members or 30% had at least 1 visit and a total of 349 visits. In October, 96 Silver & Fit
members or 43% had at least 1 visit and a total of 595 visits. I will be looking to find ways to get more of
those members coming in.
Update from Kitty on these numbers for Silver Sneakers and Silver and Fit:
Sara's member numbers from either Silver and Fit or Silver Sneakers are off from the numbers that I
report which come from a CSI generated report (CSI showed 271 to Silver Sneakers report of 183). We
have now embarked on an audit of those memberships to reconcile the two reports. What we've found is
that we have a number of "members" on CSI who are not eligible any longer for Silver Sneakers. We are
inactivating the ineligible accounts. The next step is to see if they are Silver and Fit eligible and contact
them about getting reestablished with us under that program. The active /eligible Silver Sneakers and
Silver and Fit accounts we will begin a campaign to get them coming to the facility again. We only get
paid in the program if they show up. So it is in our best interest to try and entice them back to the facility.
We have not begun to audit the Silver and Fit account, but our two reports are off by less than 10
members.
• As for the insurance reimbursement program, in October we have 668 members enrolled and 396 of
those members visited at least once during the month. In the next couple of months insurance plans
change for many members and I will be busy keeping up with all those changes.
• The first indoor farmers' market was on November 7, the same day as the craft shows. Following indoor
markets are scheduled: Nov. 21, Dec. 5, Jan. 9, Feb. 6, Mar. 12 & Apr. 2, 9:OOam to 1:OOpm. I expect
about 8 -10 vendors for the indoor markets.
SUGGESTION BOX ITEMS
NOVEMBER 2015
Main Hallway:
• The locker room is too coldl We freeze going in and coming out. (women's) Not impressed with
the Level Two (5:00 pm Monday) swim instructor who barely puts the kids in the water.
• The partitions in the toilet area of the women's locker room need to be replaced. One door will
not close and the partitions are very unstable. Please repair before somebody gets hurt.
• Less restrictions in the Romp n Stomp.
• Spin Classes in the evenings please.
• Get a sauna.
• Please seriously take a look and examine Chaska's curling club that is run by the City. If
successful, MCC could consider a model for building its own dedicated curling club. I am a curler
in need of a club close to home. I would love to help in the discovery stage.
• Please fix the shower bench. I came to use the private handicapped shower area in the family
locker room and realized that the shower bench I use to transfer onto is leaning and cracked in
two spots which is unsafe and could cause an open wound on my back side.
