COMMUNITY CENTER ADVISORY BOARD MEETING MINUTES APRIL 19, 2016 Board members present: Darren Paumen - Chair, Jennifer Bethke and Brian Stumpf Board members absent: Heath Bird -Vice Chair and Bonnie Stromberg Staff members present: Kitty Baltos- Director and Sara Cahill- Program & Operations Coordinator 1. Meeting called to order by Chair Darren Paumen at 4:36 p.m. 2. Consideration of adding items to the agenda. No items added. 3. Consideration of approving the minutes of the February 16, 2016 regular meeting. MOTION by Brian Stumpf to approve the minutes as submitted. SECONDED by Jenner Bethke. MOTION PASSES unanimously with no discussion. 4. Update Items: a. Usage through March 2016. Month to date down 2.4% and Year to date down 3.5 %. b. First Quarter Financial Review. Multiple line items were highlighted for clarification or discussion. Overall Revenue down 8% from same time period of 2015 and expenses up 1% over same time period. Items to follow up on; Salaries line 31, Program revenue down $7,470, concession product up 4% and revenue up only 2 %, and ball field expenses that are accumulating. c. Manager's update. Reviewed with little discussion. d. Suggestion box items. Reviewed with minimal discussion. 5. Old Business: a. Pool staining and progress. Board updated on progress by Kitty Baltos. b. Merging MCC and Park Board. The decision was made to hold off until the Parks Department and the Community Center department are united as a Parks and Recreation Department. c. Ball Field Concessions. Discussion on the equipment at the ball fields and what will be done with it, either use at MCC or sell. 6. Friendship Island discussion and approval. Presentation by Sara Cahill on the costs for the program and the also provided options for program size and price per day. MOTION by Jennifer Bethke to approve a 20 child max, with the option to take a couple more if family members, at the $20 per day rate. She added that additional quotes for transportation should be gotten to ensure best price. Motion SECONCED by Darren Paumen. MOTION PASSES unanimously after some discussion. 7. Old Business: Revisit Friendship Island program revenue and costs. Since we last met we've forged on with Friendship Island and unfortunately uncovered some additional costs or late submitted costs that affect the program. One item is a suggested rental amount of $817 per month. This number may need to be discussed by MCC staff, the City Administrator and the Finance Director to negotiate a fair rental cost. Information that we expect to be available at the meeting is if the schools before and after childcare program will begin this fall. 6. Consideration of request from Pickle Ball players to close the gym during scheduled pickle ball time. You may not know this, but pickle ball has become wildly popular and most facilities are almost being overrun by the demand! We are one of those facilities. We currently offer pickle ball Tuesday and Friday from 8:30 am to 10:30 am. This summer it will only be Tuesday morning. Usage numbers will be available at the meeting from Pam Loidolt, Senior Center Director. We had pickle ball courts painted on the gym floor when we redid the floor last July. I've included a picture of what the courts look like in the gym. You'll see that the three courts do take over the whole gym when they are in use. We work hard to maintain an open gym for as many hours as possible. In the past, when we've provided dedicated time for adult drop in basketball but found that other sports began to make requests for dedicated time as well. So this might start a precedent to give pickle ball a dedicated time. On the other hand, they use the gym in the morning hours when most kids /families are in school or at work and only affects users very minimally. Although there are times when someone wants to come in and just shoot hoops. So we'd like to discuss the possible options and come to a decision on their request.
