Adjourn COMMUNITY CENTER ADVISORY BOARD MEETING MINUTES FEBRUARY 16, 2016 Board members present: Darren Paumen- Chair, Heath Bird -Vice Chair, Jennifer Bethke, Bonnie Stromberg and Brian Stumpf Staff member present: Kitty Baltos- Director 1. Meeting called to order at 4:29 pm by Darren Paumen. 2. Consideration of appointing a Co -Chair for 2016. MOTION by Daren Paumen to appoint Heath Bird as Co- Chair for 2016, SECOND by Brian Stumpf. MOTION PASSES unanimously. 3. Consideration of adding items to the agenda. No items added. 4. Consideration of approving the minutes of the January 19. 2016 regular meeting. MOTION by Darren Paumen to approve the minutes as submitted. SECONDED by Brian Stumpf. MOTION PASSES unanimously. 5. Update Items: Items discussed by the Board noting, 7% decline in daily visits 2016 to 2015. 6. Old Business: a. Special Permit for alcohol use at Xcel Ball Fields. Permit was approved by City Council on February 8, 2016. Next step is to seek either an organization to run the concessions or bring in vending. b. Friendship Island transition to year round program. We officially found out that we will be unable to bus out students to Pinewood since we are within their walking range. We can charter a bus and add the cost to the program. c. Southwest corner, MCC. Measurements of the space were not gotten. They will be available at the next meeting for discussion of a possible amenity. 7. Discussion or repair /improvement in the pool. Staff update the Board on the problems with the water staining the pool and attempts to fix that problem. If able to be fixed, the Board discussed moving forward with re -doing the Diamond Brite surface and replacing the play structure. The Board requested continued follow up on this as the process progresses. 8. Discussion on possibility of merging MCC Advisory Board and Parks Commission and setting a joint meeting date and time. Brian Stumpf led the discussion on the possible merge and the hope for greater efficiencies with Council, Board members and staff. The Board were supportive of the idea. Kitty Baltos and Tom Pawelk will look at how other communities operate and bring that information back to a future Board meeting. 9. Following businesses are sponsors: • Apollo $400 • Schlenner Wenner $400 • All Elements $400 • Health Source Chiro $400 • Cargill $400 • Centra Care $400 • Belde Chiro $400 • Ausco $400 • Foster White $250 Phillip LaVallee Run only • Have a busy couple weekends coming up. On Saturday, March 12th we have the Woman of Today Craft show in the gymnasium. We also have the indoor farmers market in the main hallways and ECFE Conference in the Miss Room. Sunday the 13' we have the boys' basketball banquet in the Miss Room with Russell's catering. Hoping they do well at state. • Saturday, March 19' we have Breakfast with the Easter Bunny in the Gymnasium. Swan River will be over Friday after 4pm to set up. We also have the March Madness Run that morning. Run a 5K then come eat a pancake@. We also have a chapel wedding that day. • We have been hit hard at MCC with flu /colds /fever. One Tues we have 7 different staff out sick. Luckily we have some healthy staff that were able to jump in and cover. Every area has been hit. Seems to have died down a little bit and not so many have it any more. I am sure the schools are looking forward to spring break and kids being apart. • Most of the schools are off at the same time this year for Spring Break which makes it a little easier for us. Will be a busy week at MCC the week of the 21't thru the 25th. • Meeting rooms have stayed very busy. Our weekdays/ weeknights /weekends are crazy busy. Sometimes have to update my meeting room weekly sheet once or twice during the week. • 1 think we are pretty well staffed as off now except could probably use one or two more climbing wall with spring sports starting soon. We have one in track and one in baseball and they require a lot of time after school and weekends. Program & Operations Coordinator -Sara Cahill: • The Egg Scramble and Splash, a non - traditional egg hunt in the pool, will be on Tuesday, March 22, 6:00 - 8:00pm. We learned a lot from last year and I think this year will be much more organized and fun for the kids. The pool will be closed for this event and participants need to pre- register to guarantee a spot. We are allowing 100 kids in the pool, the event is free for members and $4 for non - members. As of March 9 we have 49 kids registered. • The Indoor Block Party was a big success again this year. We served 380 corn dogs and some people did not take the free lunch so 1 would estimate 400 people in attendance. We had a Clown twisting balloons, 2 face painters, Monticello Royalty making snowflake crafts with kids, and games. Volunteers really helped make the event possible. • We have hired some new staff so it's been a busy time orientating and training them. • I released the spring program brochure this week. A partnership with CentraCare Health- Monticello has allowed us to conduct a new informational series "Healthy Family, Healthy Home'. Families can learn about positive parenting and nutrition during this 4 week series. • 1 am preparing for summer. Lots of programs and activities on top of Friendship Island and the Farmers' Market will keep me very busy. • Walk 'n Roll is Saturday, June 11. It's time to start securing pathway partners and bike sponsors. • Learn to Skate begins Saturday, March 13. It will be a full class with nearly 30 kids. Our instructor, Steve Sorensen, does a great job with this 6 week program offered in the spring. • The first Pickle ball Tournament, "Pot 0' Gold ", was scheduled for Thursday, March 17 however, we did not get enough teams registered. Director -Kitty Baltos: • We're heading to a Health and Wellness expo at Xcel Energy. Should be fun to meet a lot of people. This is Thursday, March 31't from 10 -2 pm. Corinne Mitchell and I are sharing the day. Our theme will be Beyond traditional exercise for health, weight loss and fitness. The idea is to promote how we're different from the traditional health club. • The Bertram Blast Triathlon planning is going pretty smoothly, but the registrations have been slow to come in. So at our last meeting we had to ramp up our marking plans to try and up the registrations. It's going to be a pretty cool event, so I hope we can get it going. • As Tricia noted in her report, we've had a lot of staff out sick. This has meant that one of us is usually the fill in person at the front desk or in the pool. This is difficult because it just gets that person behind in their work at our busiest time of the year. Everyone is remaining positive so far, but we're pretty worn out. • 1 love the person who we lease our ATM machine from. She does a great job keeping our machine filled and serviced, however, there's a new guy in town. I'm going to talk to him about what we have, and what our expectations are and we'll just see. Could mean more revenue for us ?? 1 think I'm in a good negotiating position. • We're going to start painting rooms, well that was the plan. Then Mick, our overnight custodian, needed to take a medical leave for the next five weeks! Hopefully we can still get some spaces done. We're planning on the Warehouse and the River room as high priority and then onto the fitness center. And then .... the list goes on and on! • Great Weight Rebate will do their final weigh in next week. It's always fun to see how everyone did. I'll update at our next meeting. Aquatic Director - Corinne Mitchell: • Spring Swim lesson registration has begun .... I am betting the classes will be full by the time of your March meeting!! Kitty provided the numbers for me... So after just afterl % days of being able to register for lessons we are 63% full! • In the past we have schedule private swim lessons around the instructors and customers availability. For this summer I am hoping to try to have designated times and days that parents can sign up for their children. Trying something new. The demand has really increased and become a scheduling nightmare. • The last two weeks in March will be busy in the pool with local schools being on Spring Break. • I am searching for additional daytime lifeguards to work in the pool. Any ideas where to recruit? • Pool Egg Drop was a big success last year!! Sara has the eggs ready to go for this year! Maintenance Supervisor -Brian Weldon: Pool Area: • We are continuing to try and improve upon the staining in the pool and locker room areas. We will begin again our Preventative maintenance on the softener system that had been discontinued for a period of time. This was a contributing factor to an increase in the staining. Fitness Area: • We have a bike and elliptical that we are waiting on parts for and have received a bid for patching and painting the fitness area, otherwise equipment is in working order Meeting Rooms: • Carpets have been cleaned in the Miss. Room and the dishwasher that is in the senior kitchen is back in working order. Locker Rooms: • The new partitions in the ladies locker room looks great, we also added new partitions between the urinals in the men's locker room. Pool staining and resolution. Staff has been: • Talking with other pool operators in the area to see what they are doing for filtration, chemicals, etc. • Having maintenance work done on the softener to see if that will help with the staining • Manually de- staining the pool sides which seem to be the worst. This is due to the high volume of makeup water we put into our pool everyday this time of year. This has been an interesting process as we research other options. We've actually learned some things about pool chemical requirements. 5B. Merging the MCC and Park's Boards. I have done some research on what other Park and Recreation Boards do at their meetings and their mission statements. I will provide the information at our meeting. The Parks Board will discuss this idea more thoroughly at their March 20 regular meeting. Jeff O'Neill may be in attendance at the meeting.
