MCC Advisory Board Minutes 02-16-2010COMMUNITY CENTER ADVISORY BOARD MEETING MINUTES TUESDAY, FEBRUARY 16, 2010 - 4:30 P.M. RIVER ROOM Board members present: Ron Broekemeier- Chair, Sandra Theros -Vice Chair, Jennifer Bethke, Wanda Kraemer and Susie Wojchouski Board members absent: Clint Herbst Staff members present: Kitty Baltos- Director 1. The meeting was called to order by Chair, Ron Broekemeier at 4:32 p.m. 2. Consideration of adding items to the agenda: The suggestion was made to move the mechanical room tour to the end of the meeting. Discussion on the Taxi Cab in the Romp n Stomp, added by Ron Broekemeier 3. Consideration of approving the minutes from the January 19, 2010 regular meeting: A MOTION was made by Sandra Theros to approve the minutes as submitted. The MOTION WAS SECONDED by Jennifer Bethke. The MOTION PASSES unanimously with Wanda Kraemer abstaining. 4. Update Items: a. Financial Summary through January 2010: Kitty reported that there were no big jumps in revenue or expenses to review. b. Financial Summary through December 31, 2009, unaudited: The Board was provided a more complete financial summary of 2009. No items were addressed. c. Visit summary through January 2010: Visit summary was reviewed with no discussion. d. Community Garden Update: Kitty reported that there were still a number of plots still available but felt that fairly soon they would fill up the garden. No other discussion. e. Manager's Monthly Recap: The Board expressed concern about the play structure stairs in the pool coming loose and floating up. Kitty reported that it was just a bolt that had broken and was fixed very quickly. Susie Wojchouski reported that she had cut her toe on the anchor at the bottom of the kiddie slide. Kitty will report this to maintenance to see what can be done to ensure no further injuries happen. The Board also discussed the free swim or skate passes provided with birthday party reservations. It was noted that members don't get a lot of benefit from this and suggested another option for members for example, free popcorn, etc. S. Old Business: a. Recap Tenth Anniversary: Kitty reported some mechanical difficulties immediately before the anniversary celebration; the pool heater went down again, the popcorn maker broke and the stairs on the pool play structure broke off. She reported that all items were repaired in time for the celebration and that all people attending on the anniversary day were appreciative of the specials and the community center. b. Office /Warehouse Remodel: Kitty reported that the office remodel is underway, however, she did push the Warehouse remodel back due to potentially unavailable Public Works assistance and work schedules with Sara Cahill taking maternity leave a bit early. c. Pool supplies expense detail from 2009: Jennifer Bethke had requested a summary of pool supplies expense since the expenses were higher than budgeted. Kitty reported on a number of maintenance items that were higher than budget and what those items were: I. Pool Supplies included $6,486 for window blinds in the pool. ii. Repairs & Maintenance - Building included $12,200 for replacement lights in the pool iii. Repair & Maintenance - Machinery /Equipment included $22,621 for DuMont repairs throughout the year and $8,389 to replace the pool heater. An insurance claim has been filed to try and recoup some of the pool heater expenses. iv. Repair & Maintenance -Pool & Rec included $8,147 to replace the pool drains, $5,782 to replace the water slide strainer that cracked and flooded the pool equipment room. As a side note, insurance reimbursed the community center $5,282 for the cracked water slide strainer. d. League Manager Update: Kitty reported that the first candidate turned down the position. He was interested in playing instead of managing. Second interviews will be held for the next highest three candidates. All three are well qualified and could do the job. 6. Items pulled from updates and old business for discussion: Discussions are reported in the item. 7. Consideration of annual Board position appointments for 2010: a. Chair - Ron Broekemeier b. Vice Chair — SandraTheros c. Farmers' Market Representative— Jennifer Bethke d. Bertram Advisory Council Representative — Rotate through Board as they are available, Kitty will provide calendar. A MOTION was made by Sandra Theros and SECONDED by Jennifer Bethke to approve the appointments as identified with the Bertram Advisory Council a rotating representative. The MOTION PASSES unanimously. 8. Community Center policy review, consideration of adjustments and approval. Initial review of the General Policies pages 2 through 6 of the manual. The Board discussed the policies and requested to have policies for the ball park, ice arena, park rentals, chapel, banquets, community garden, farmers' market and to beef up the conduct portion of the policies. After review, Sandra Theros made a MOTION to approve the portion of the policies review with the change to the Trainer's fee changing from 8% to 5% to allow them to charge a lower fee. The MOTION was SECONDED by Wanda Kraemer and passes unanimously. 9. Added items and discussion: a. Taxi Cab: Ron Broekemeier questioned why it was so beat up. The cover over the Taxi Cab sign is almost off. Kitty noted that it gets used heavily and she will see if the maintenance staff can fix it. b. Council Tour of equipment room: Susie Wojchouski suggested that the City Council take a tour before their next meeting of the DuMont system and the pool heater so they have a good understanding of the equipment and its problems. Kitty will talk to Jeff O'Neill about getting this set up. c. Fitness Center conduct: Ron Broekemeier and Jennifer Bethke express concern over some inappropriate language and the speaking volume of a particular individual in the fitness center. Kitty noted that the conduct policies will be "beefed up" and that signs could be put up in the center to encourage courtesy. Kitty will speak with the specific individual. 10. Meeting adjourned at 5:45 p.m. The Board then toured the mechanical rooms of the facility including the DuMont room, boiler room, and mechanical room behind the fitness center. Recorder: Kitty BaIto!
