MCC Advisory Board Minutes 08-20-2013MINUTES MONTICELLO COMMUNITY CENTER (MCC) ADVISORY BOARD MEETING Tuesday, August 20, 2013 4:30 p.m. River Room Members Present: Sandra Theros, Jennifer Bethke, Heath Bird, Darren Paumen, Clint Herbst Members Absent: None Staff Members: Kitty Baltos 1. Call meeting to order Sandra Theros called the meeting to order at 4:30 p.m. 2. Consideration of adding items to the agenda None. 3. Consideration of approving minutes of the Julv 16, 2013 regular meeting JENNIFER BETHKE MOVED TO APPROVE THE REGULAR MCC ADVISORY BOARD MEETING MINUTES OF JULY 16, 2013. MOTION SECONDED BY HEATH BIRD. MOTION CARRIED UNANIMOUSLY 5-0. 4. Update and Old Business Items A. Usage Summary through July 2013. Kitty Baltos said it has been a really good year and usage is up. The new fitness add- on and the extra classes are full and going well. The childcare is a positive as well. B. Manager's Monthly Update. The complete Manager's Monthly Update was included in the agenda packet to the Advisory Board. Kitty Baltos said that she is still having technical glitches with the software upgrade for credit card processing for online registration. They are no longer able to accept American Express and CSI and First Data are trying to figure it out. Kitty said they have been working with the company that installed the cooling system for the pool area to try and resolve the problems as it has not been working at full capacity since installation. Kitty said that today for the first time the cooling is at 100% in the pool. MCC Advisory Board Minutes 08/30/13 C. Suggestion box comments. All suggestion box comments have were included in the update to the Advisory Board members. Kitty Baltos has been responding to the suggestion box comments and posting them on the board which is helpful for users. One of the comments is to remain open at 7 a.m. on Sundays year round. This will be discussed. D. Old Business: Movie in the Park Wrap Up. Kitty Baltos said the last movie did not go over well. The movie was "Remember the Titans" and it just wasn't a popular movie. Discussed moving the date up a week from August 10th to the first weekend in August for next year. Kitty said the outside movies are done for the season but they will be doing some movies at the community center in the Mississippi Room. Kitty is going to check with the company to use the blow- up screen with the rear projector to see if they are available. They will look at MEA weekend in October for the first inside movie event. 5. Consideration of revised preliminary budget as submitted to the Council. Kitty Baltos distributed the revised budget. She said that she has been advised to reduce the difference between expense/revenue by approximately $100,000. The gym floor replacement ($50,000) will be moved to a different fund. Kitty said the payroll is very high, usually businesses want to be between 40-60% and the employee costs for the MCC are at 71%. Kitty said if it's not busy they try to understaff instead of over -staff, send employees home early, and those types of things to help cut that. Discussed expenses that could possibly be reduced. The electric may be a high estimate. Kitty said with the lighting upgrade to LED lights they're supposed to be getting rebates for those. She will look into why they aren't seeing a reduction and figure out how they can reduce those electric rates. Other possible expenses to be reduced may include: building improvements, fixtures & furniture, small tools & equipment (in both departments), and advertising. Kitty said these expenses may be a high estimate and may be reduced and she will look into these further. Possibly eliminate the $19,000 for Other Equipment as this was a carry over for 2013. Kitty said that she will also check with the finance director about the increase in the insurance expense and if that is an accurate number. Discussed ways to create revenue such as additional party room rentals for other types of non -typical events, utilizing the BCOL Regional Park for a triathlon, etc. Kitty is going to check with Buffalo to see who puts on their triathlon. 6. Consideration of Fall Hours for 2013. Kitty Baltos distributed a spreadsheet indicating member check-in times on Sundays and Fridays as well as the pool use on Sundays and Friday. The board members all agreed that z MCC Advisory Board Minutes 08/30/13 the hours should remain the same year round and to eliminate seasonal hours. So the hours will remain Mon-Thurs from 5 am — 10 pm (adult lap swim 9 p.m. - 10 p.m.); Fri & Sat 5 a.m. - 9 p.m. (open swim until 8:30 p.m.); Sun 7 a.m. - 8 p.m. 7.
